You've finished your design. It looks perfect on screen. You export it, send it off, and then get an email backasking about bleed, trim marks, or why your colours have shifted. Sound familiar?

A "print-ready" file isn't just a finished design — it's a file built to survive the journey from screen to press without surprises. Here's what actually makes a file print-ready, piece by piece.

1. The Right Colour Mode: CMYK, not RGB

Screens display colour using RGB (Red, Green, Blue Light). Printers build colour using CMYK (Cyan, Magenta, Yellow, Black Ink). These two systems don't cover exactly the same range of colours, so a file designed in RGB and printed without conversion can come out duller or shifted (especially in bright blues, greens, and oranges).

A print-ready file is set up and saved in CMYK from the start, or carefully converted and checked before it goes to press.

2. Bleed

Bleed is the extra bit of artwork (usually 3mm) that extends past the edge of your final trim size. Because cutting a large sheet of paper down to size is never pixel-perfect, that small margin of extra colour or imagery ensures there's no thin white sliver at the edge if the cut shifts slightly.

Any design element that touches the edge of the page (a background colour, an image, a border...) needs to extend into this bleed area.

3. Trim Marks and Safe Zones

  • Trim marks (also called crop marks) show the printer exactly where the final cut should be made.
  • The safe zone is a margin (typically another 3–5mm inside the trim line) where important text and logos are, well, safe from being trimmed. Anything too close to the trim edge risks being cut off or looking cramped.

Think of it as bleed on the outside, safe zone on the inside, with the trim line in between.

4. Resolution

Screens work in low resolution (72–96 DPI); print needs much more detail up close. A print-ready file should be 300 DPI at final size. Anything lower and images can look soft, blurry, or pixelated once printed — a problem that's much harder to spot on screen than it is on paper.

5. Fonts: Outlined or Embedded

Fonts that look fine on your computer might not exist on the printer's system. If a font isn't embedded or converted to outlines (curves), it can be substituted automatically (and sometimes with... strange results).

Outlining text, or embedding fonts in the file, keeps your typography exactly as designed.

6. Flattened Layers and No Missing Links

A print-ready file shouldn't rely on files it doesn't actually contain.

Linked images that are missing, layers that haven't been flattened, or transparency effects that haven't been handled properly can all cause errors (or simply not appear) at the printing stage.

7. The Correct File Format

PDF is the industry standard for print-ready files, and for good reason: it preserves layout, fonts, and colour information consistently across systems.

A high-quality, print-optimised PDF (ideally with crop marks and bleed included) is usually the safest export format.

Why This All Matters

None of this is about being overly technical for technicality's sake. Every point above solves a real problem that shows up after the file has already gone to press — when it's too late to fix cheaply or quickly. A file built with these fundamentals in mind moves through production smoothly, prints accurately, and looks the way it was designed to look.
